25 Claude prompts every accounts team should bookmark

Most of these aren't clever. They work because they're specific — a real amount, a real deadline, a real customer name — not because of any trick phrasing. Copy, adapt, and replace the bracketed parts with your own numbers.

Reconciliation and cleanup

  1. "Here are two column headers from different bank statement formats: [paste]. Which columns most likely map to date, amount, and reference number?"
  2. "I have a payment of ₹[amount] on [date] with no matching invoice in my records. List the five most likely explanations, ranked by probability, for a B2B services business."
  3. "Explain the difference between a debit note and a credit note in plain language, with one example of when a supplier would issue each."
  4. "Here's a list of party names from two different exports: [paste]. Which ones are likely the same customer with slightly different spelling?"
  5. "Write a checklist for reconciling a bank statement against Tally at month-end for a small trading business — assume no automated bank feed."

Vendor and customer communication

  1. "Draft an email to a vendor asking them to resend an invoice — ours shows GSTIN [XX] but it's not appearing in our GSTR-2B for [month]."
  2. "Write a short, professional message to a customer explaining that we can't process their payment until we receive a valid e-way bill for invoice #[number]."
  3. "Draft a message to a new customer explaining our standard payment terms (net [X] days) in a way that sounds like policy, not a personal request."
  4. "Rewrite this vendor email to be shorter and less apologetic, but keep it polite: [paste]."
  5. "I need to tell a long-standing supplier we're moving to 45-day payment terms because of a new MSME compliance rule. Draft something that explains why without sounding like we're stalling."

GST and compliance questions (starting points, not final answers)

  1. "Explain in plain terms why an invoice might not appear in a buyer's GSTR-2B even though we've filed our GSTR-1 for that period."
  2. "What's the difference between GSTR-1, GSTR-3B and GSTR-2B, in one sentence each, for someone who only deals with sales invoices, not filing?"
  3. "List the documents typically required to support an input tax credit claim if it's ever questioned in a GST audit."
  4. "Explain what happens if a supplier who's a registered Micro or Small enterprise isn't paid within 45 days, in terms of our own income tax deduction — not their remedy against us."
  5. "Summarise the key differences between the QRMP scheme and monthly GST filing for a business deciding which to opt into."

Always verify anything GST- or tax-related with your CA before acting on it — Claude is useful for a first-pass explanation, not a final answer, and rules change. See tax rules Indian SMBs should track for what's actually changed recently.

Reports and summaries for people who don't read spreadsheets

  1. "Turn this ageing summary [paste totals] into three sentences I can put in a WhatsApp message to my business partner."
  2. "I have these five numbers for the month: [paste]. Write a short MIS summary a non-finance co-founder would actually read."
  3. "Compare this month's expense totals by category to last month's [paste both] and tell me what changed the most, in plain language."
  4. "Explain what a healthy current ratio looks like for a [industry] business with roughly ₹[X] annual turnover, and where ours [ratio] sits against that."
  5. "Draft three bullet points summarising why our receivables ageing looks worse this quarter than last, based on: [paste context]."

  1. "Here's how I usually write to a customer I know well: [paste past message]. Draft a similar message chasing invoice #[X] for ₹[amount], now [N] days overdue."
  2. "This customer paid a newer invoice but skipped an older one for the same amount roughly. What are the most likely non-payment reasons, ranked by likelihood?"
  3. "Rewrite this reminder to sound firmer without sounding aggressive: [paste]."
  4. "Draft a short note to keep in our records after a phone call where a customer promised to pay ₹[amount] by [date] — something we can refer back to later."
  5. "Explain, in plain terms, what legal options actually exist against a customer who's 70+ days overdue on a ₹[amount] invoice with no dispute raised — just an overview, not legal advice."

Every prompt above works because it includes a real number, a real deadline, or a real example to match against. "Write a professional email" produces generic filler. "Write an email about invoice #4471, ₹62,000, 21 days overdue, first reminder" produces something you can actually send.
